This policy explains how we collect, use, disclose, retain and protect personal information when you visit or purchase from our online store or contact us about an online order. It is intended to reflect the Personal Information Protection and Electronic Documents Act (“PIPEDA”) and other applicable Canadian privacy laws.

2. PHOREST PLATFORM

Our online store is hosted and operated using services provided by Phorest. When you use the store, Phorest and its service providers process information to provide the storefront, customer records, order management, communications, payment and related functionality. One 11 Beauty Bar is responsible for its own use of customer information, and Phorest may also have obligations for processing it. Phorest’s applicable privacy notice should be read together with this policy.

3. INFORMATION WE COLLECT

Depending on how you use the store, we may collect:
- identity and contact information, such as your name, email address, telephone number, billing address and delivery address;
- order and transaction information, such as products purchased, quantities, prices, discounts, taxes, shipping method, order status, returns, refunds and communications about an order;
- payment-related information. Payments are processed through Phorest and its payment service providers. We generally receive transaction confirmations and limited payment details rather than the full payment-card number;
- account and preference information, such as customer identifiers, communication preferences and information associated with your salon/customer profile;
- technical and usage information, such as IP address, device and browser information, cookie identifiers, pages viewed, interactions, timestamps and diagnostic data; and
- information you voluntarily provide when you contact us, request a return, report a product issue, submit a review, or otherwise communicate with us.
Please do not send health or other sensitive information unless it is reasonably necessary and we request it through an appropriate channel.

4. HOW WE COLLECT INFORMATION

We collect information directly from you at checkout, through forms, by email, telephone or in person. We also receive information automatically from the store and from service providers involved in processing payments, hosting, security, analytics, delivery and customer support.

5. PURPOSES FOR USING INFORMATION

We use personal information to:
- process payment, accept, fulfill, deliver and administer orders;
- send order confirmations, receipts, shipping updates, safety notices and other transactional messages;
- verify identity, prevent fraud, secure the store and investigate misuse;
- provide customer service and handle cancellations, returns, refunds, product issues and disputes;
- maintain transaction, tax, accounting, product-safety and legal records;
- manage inventory, understand store performance, troubleshoot and improve the shopping experience;
- associate online purchases with your One 11 Beauty Bar customer record where appropriate;
- send promotional electronic messages where you have consented or where otherwise permitted by law;
- establish, exercise or defend legal claims and comply with legal, regulatory, safety, recall or law-enforcement requirements; and
- use information for another purpose that we identify at or before collection, or to which you otherwise consent.
We limit collection, use and disclosure to purposes that a reasonable person would consider appropriate in the circumstances.

6. CONSENT AND CHOICES

We obtain consent in a form appropriate to the sensitivity of the information and the context. Some information is necessary to process and deliver an order. If you do not provide it, we may be unable to complete the purchase.
You may withdraw consent to an optional use at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal does not affect processing already lawfully completed and may prevent us from providing a requested feature.
Marketing messages are sent in accordance with Canada’s anti-spam law. You may unsubscribe using the link in a promotional message or by contacting us. We will process an unsubscribe request without charge and within the period required by law. You may continue to receive necessary transactional or safety communications.

7. DISCLOSURES TO SERVICE PROVIDERS AND OTHERS

We do not sell or rent personal information. We may disclose information, only as reasonably necessary, to:
- Phorest and its affiliated service providers that operate and support the store and customer-management platform;
- payment processors, banks and fraud-prevention providers;
- shipping carriers and delivery providers;
- providers of hosting, cloud storage, communications, analytics, security, technical support and professional services;
- product manufacturers, distributors, insurers or regulators where needed to address a defect, adverse event, warranty, safety issue or recall;
- accountants, auditors, legal advisers and other professional advisers who are subject to confidentiality obligations;
- government, regulatory, law-enforcement or judicial authorities where disclosure is required or permitted by law; and
- a purchaser, successor or adviser in connection with a proposed or completed business transaction, subject to appropriate confidentiality and legal safeguards.
Service providers are authorized to use information only for the services they provide or as otherwise permitted or required by law. Their own privacy notices may also apply where they act independently.

8. PROCESSING OUTSIDE CANADA

Phorest and other service providers may process or store personal information outside Ontario or Canada, including in the United States or other jurisdictions in which they or their subprocessors operate. Information processed in another jurisdiction may be subject to that jurisdiction’s laws and may be accessible to courts, law-enforcement or national-security authorities in accordance with those laws. We use contractual and other measures appropriate to the circumstances to protect information handled by service providers.
Contact our Privacy Officer if you would like information about our service providers or our policies regarding processing outside Canada.

9. COOKIES AND SIMILAR TECHNOLOGIES

The store and its service providers may use cookies and similar technologies that are necessary for functions such as session management, cart operation, checkout, security and fraud prevention. Depending on platform configuration and your choices, analytics or marketing technologies may also be used to understand use of the store and measure communications or promotions.
You can manage non-essential cookies through any consent controls made available on the store and through your browser settings. Blocking necessary cookies may prevent the cart or checkout from working correctly.

10. RETENTION

We retain personal information only for as long as reasonably necessary for the identified purposes and to satisfy legal, accounting, tax, product-safety, warranty and dispute-resolution requirements. Retention periods vary according to the type of record and applicable obligations. When information is no longer required, we securely delete, destroy or anonymize it, subject to permitted backup and legal-retention processes.

11. SAFEGUARDS

We use administrative, technical and physical safeguards appropriate to the sensitivity, amount, format and location of the information. These include access controls, staff confidentiality, secure service providers and encryption in transit where supported. No method of transmission or storage is completely secure, but we review safeguards and address identified risks.
Where required by PIPEDA, we maintain records of security safeguard breaches and notify affected individuals and report to the Office of the Privacy Commissioner of Canada when a breach creates a real risk of significant harm.

12. ACCESS AND CORRECTION

You may request access to personal information that we hold about you and information about how it has been used or disclosed. You may also request correction of inaccurate or incomplete information. We will verify identity and respond within the period required by applicable law. Legal exceptions may limit access in some cases; if so, we will explain the reason unless prohibited by law.
Send requests to our Privacy Officer at info@one11beautybar.com.

13. PRIVACY QUESTIONS AND COMPLAINTS

Contact our Privacy Officer with a question, request or complaint. We will investigate and respond appropriately. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

14. CHILDREN

The online store is not directed to children under 13, and we do not knowingly collect their personal information without appropriate parent or guardian consent. A parent or guardian who believes that a child has provided personal information may contact our Privacy Officer.

15. THIRD-PARTY LINKS

The store may link to websites or services that we do not operate. Their privacy practices are governed by their own notices, and we encourage you to review them.

16. CHANGES TO THIS POLICY

We may update this policy to reflect changes to our practices, service providers or legal obligations. The revised policy will be posted with a new effective date. If a change is material, we will provide additional notice or obtain consent where required by law.
